Position Title: Sales & Marketing Coordinator                                                   

Status: Non- Exempt

Reports to: Director of Sales                           



  • Assist with researching new products, locations, services, etc. for clients
  • Designing/creating marketing pieces including newsletters, photo pages, web design, etc.
  • Creative ideas and writing
  • Oversee sales meetings and minutes
  • Assist with software and hardware issues, as well as data entry
  • Assisting Sales Managers with site inspections, sales trips and presentations
  • Provides assistance to clients when National Sales Manager or Senior Experience Designer is not available, returning phone calls or e-mails promptly.
  • Participates in daily, weekly, monthly and annual team, department and company meetings.
  • Plays an active role ensuring that sales tools and computer information on venues, etc. are current, complete and available for team to use at any time
  • Responsible for answering telephones, exercising good judgment in responding to callers.      
  • Takes message and transfers calls as needed. Oversees the processing of incoming and outgoing mail including ordering postage, mailing supplies
  • Responsible for maintaining office equipment in working order, checking service contracts, arranging for service, and ordering equipment supplies for offices.
  • Provides support by assisting with projects.
  • Performs other duties and responsibilities as required or requested.


  • At least 1-2 years work experience in special event planning, meeting planning, incentive travel or related field
  • College degree, certificate or additional work experience in Business Management, Meeting Planning Management, Incentive Travel is helpful
  • Proven ability to work in a team environment
  • Ability to apply common sense understanding to carry out detailed written or oral instructions.
  • Ability to anticipate and deal with problems involving few concrete variables in a typical office situation.
  • Strong mathematical skills, i.e., calculating percentages, proposals using mathematical equations
  • Must have exceptional interpersonal and communication skills
  • Computer literate with knowledge of Microsoft Word, Outlook, Excel, Illustrator and Photo Shop
  • Multitasking, organized, proactive, calm under deadlines, team player, proficient and accurate on keyboard, pleasant phone voice

This position is frequently required to travel within the local destination market to which assigned. The following requirements apply: 

  • Ability to travel to program sites, greet clients, participate in multi-day site inspections with sales managers and clients.
  • Ability to travel to other AlliedPRA office locations by vehicle, airplane.
  • Must be able to safely and legally operate a vehicle (personal, rental, or company).
  • Must have a current, valid driver's license for the state in which the employee performs his or her driving duties.
  • Must maintain a clean driving record, i.e., must remain insurable under our company's liability insurance policy.
