Position: Transportation Program Manager

Classification: Full Time / Exempt



Company: Started in 1981, AlliedPRA is an award-winning, full-service destination management company providing clients with a professional service resource in designing and executing destination programs. This position is solely designed for Facebook and employee will be a contractor for the Facebook Transportation Team and work from the Menlo Park campuses. 


Summary of Position: This position reports directly to the AlliedPRA Transportation Manager and is supervised by our client's Transportation Management department.  

The primary responsibility of this position is to ensure that all transportation programs provided to our client's employees are safe, reliable and on-time. This includes oversight of the customer service and dispatch teams, ensuring an efficient, well-organized, and professional operation.

This position will also manage special projects as required by our client's Transportation Management. The Program Manager will direct or assist the overall operations of Company Transportation by planning and evaluating the scheduling of transportation routes, monitor and help operate a computerized network of tracking systems and establish and maintain effective working relationships with management, dispatch staff, transportation vendors, and Company representatives from other departments.


Essential Duties and Responsibilities

  • Act as Program Lead
    • Work closely with Transportation Management to maintain and advance program goals
    • Represent HUB transportation team at regular/weekly meetings
    • Attend Quarterly Business Review meetings and present on the team's progress
  • Lead weekly AlliedPRA Staff Meeting, create agenda and take meeting notes. Ensure any action items are completed by the following week.
  • Work with current commute alternatives staff and superiors in a collaborative team environment to improve shuttle operations
  • Oversee efforts related to launching of new shuttle service schedules, including creating/designing schedules, ensuring announcements are made in a timely manner, and that internal resources are updated accordingly, through coordination with company staff and shuttle vendors
  • Assist with team scheduling and reassignments as needed
  • Create and/or analyze reports (ex: Ridership, OTP)
  • Work strategically using data analysis to develop program improvements
  • Oversee group posts and emails regularly to ensure team is communicating and responding in a timely manner. Work with the Assistant Program Manager to enhance rider communication.
  • Oversee team's detailed log of vehicular deficiencies, accidents, incidents, complaints, and other issues. Work with the Assistant Program Manager to ensure that this log is updated daily and accurate.
  • Work closely with vendors to ensure successful transportation operations
    • Attend regularly scheduled meetings with shuttle/tram vendors to discuss operations and active tasks
    • Assist with daily activities to ensure policies are followed by parking, transportation and TDM vendor(s)
    • Work closely with vendors to obtain latest information on coverage and other issues impacting service delivery
    • Assist vendors with electronic or printed signage needs
  • Deliver regular reports to staff and key stakeholders, including but not limited to weekly, monthly and quarterly reports, on program operations/improvements
  • Organize, attend, and/or participate in special events and promotions advocating transportation alternatives
  • Fill in for absences, as needed
  • Other duties as assigned


Required Qualifications

  • Bachelor's degree or comparable experience in related field
  • Three (3) years relevant experience in corporate shuttle/transportation program management
  • Experience in team management and proven track record working with a variety of individuals in a dynamic work environment.
  • Experience with fleet management and dispatch software and systems
  • Understanding of vehicle maintenance and repair issues
  • Demonstrated proficiency in adapting to new environments and capacity to think in alternative ways
  • Proven ability to multi-task in a fast-paced team environment
  • Excellent time management skills required
  • Excellent writing and interpersonal communication skills
  • Proficiency with Microsoft Office suite (MS Word, MS Excel, MS PowerPoint & Outlook)
  • Must possess good communication skills and be comfortable managing the public in a courteous non-hostile manner
  • Must be open to working various shifts (day, evening, nights, weekends) as required 

Additional Desired Qualifications

  • Project management experience
  • Basic understanding of HTML and/or Markup
  • Experience with Adobe Acrobat and Adobe Illustrator
  • Comfortable using either PC or Mac
